QuickBooks Accountant Copy Failed Error

One of the errors that can show up in QuickBooks is "QuickBooks Unable to Create Accountant’s Copy". This happens when you try to create accountant’s copy.

Cause

  • You have inserted a long dash in Microsoft Word and then you try copying it which leads to this error.
  • Your QuickBooks desktop is out of date
  • Your .qbw file size is larger than 200MB
  • Data file may be damaged
  • Firewall settings interfere or internet speed is too slow. 
When you face this error there is no need to worry. Just try any of the following steps to resolve accountant copy failed error. 

Approach 1

  • Navigate to folder where the .qbw file resides. Select the file and right click on it and then click on sharing and security option.
  • In the dialog box that opens select permission and browse to the QuickBooks data service user. Enable change and read permissions for the user.
  • Your issue should be resolved if it pertains to permissions. 

Approach 2

  • Check company file name. It should not have special characters or spaces and number of characters should not exceed 210.
  • If there are any special characters, remove them and shorten the name.
  • Issue should resolve if there were problems in the file naming convention. 

Approach 3

  • If your version of QuickBooks is older then you may need to update it to the recent version.
  • Reboot system and try to create accountant copy. It should work if this was the problem. 

Approach 4

If file size exceeds 200 MB try this approach.
  • In the company information window of QuickBooks you note down the file size. If it is greater than 200 MB you must reduce the file size.
  • You can create or restore QuickBooks desktop portable company file by going to file menu, select create copy and then select portable company file and then next and save to a location. Follow the same menu but select open or restore company option and restore portable file, click next and then open the .qbm file and then select location where it is to be restored. Click save.
  • Manually send the file using windows explorer. 

Approach 5

  • If data file is damaged you can click on File-Utilities-Rebuild Data and click on OK.
  • Follow steps to create backup and click on OK when rebuild finishes.
  • Click on File-utilities-verify data. If there are no issues then click on OK. If there is an issue you are prompted to rebuild now.
  • If you have a backup then restore it and discard the damaged file. 

Approach 6

  • Run windows explorer, right click on folder where company file resides and click on properties.
  • Pick QBDataServiceUser27 or QBDataServiceUser26 according to version and click on check box that enables full control and then click OK.
